GET VACATION ACCRUAL

My Daily Work à Mass Actions à Payroll à Get Vacation Accrual

1.      This mass action can be utilized, to apply the financial impact of vacation accrual records on payroll. This mass action is applied as per the Vacation Accrual details configured at the selected ‘Payroll Group’ setup, along with paycodes specified for posting the vacation accrual. The financial impact is applied within the current or the previous month/period upon an employee’s earnings, as per the selected ‘Payroll Group’.

2.      Select the required period within which vacation accrual records will be retrieved at the grid below, whether  Current Period’ or ‘ Previous Period’. Hence, the system will post the amounts of the previous period’s vacation accrual records which will be deducted or earned upon the ‘Prorated’ paycode; specified during the vacation accrual paycode setup. Thus, the amount of this paycode will be posted upon current period/month “Payroll”. This mass action lists both of the ‘Vacation Due’ & ‘Taken Vacation’ records; two records per each one. It is worth mentioning; both of the two records have the same ‘Input Amount’, however one record is displayed with a negative sign & the other with a positive one, in order to avoid their impact on the payroll calculations. Hence, ‘  Previous Period option can be selected, in case an appointed user has not applied the financial impact of vacation accrual records at the previous period, or in case it was applied inaccurately.

3.      Select the required ‘Payroll Group’ from the predefined drop down list. Accordingly, the system will get all vacation accrual records within the current/previous period for the employees who belong to the selected payroll group. Note that, all the retrieved vacation accrual records have a financial impact on employees’ payroll within the current/previous period.

4.      Consequently, the system will retrieve the current or previous period/month, year & run number. Moreover, the system will display the ‘Start Date’ & ‘End Date’ for either the current period or the previous one, as per the selected option at step (2).

5.      This mass action displays the number of days which will affect payroll calculations at the ‘Input Amount’ column, whereas the equivalent amount will be calculated by this mass action & displayed at the ‘Amount’ column per record.

6.      Note that; a user should configure two paycodes for posting the vacation accrual of the Due; one of ‘Earning’ type & the other of ‘Deduction’ type. Accordingly, the calculated value of the net salary per employee will not be affected.

7.      This mass action lists the paycodes relevant to the vacation accrual records for either the current period or the previous one. Thus, the grid displays the ‘Emp.ID’, ‘Name’, the paycode upon which the vacation accrual has been posted, its ‘Input Amount’ & its equivalent amount; in terms of money, as per this paycode setup. Moreover, this grid lists the ‘Actual Input Amount’ for the vacation accrual paycode at “Payroll” before posting.

8.      You may utilize; Select All, Deselect All, Select Current Page or Deselect Current Page.

9.      Verify & edit retrieved data at the grid, via Edit link per record to mark Post check box.

10.  Check vacation accrual details affecting payroll before posting, via pressing Print link.

11.  Click Post, then confirm by pressing Ok, to apply the impact of these vacation accrual records upon Payroll, as per their set impact during setup.

Tips

§  The employees’ taken vacation records have an impact on the results of this mass action.

§  This mass action is usually used one time per month, in order to apply the financial impact of the vacation accrual records upon the earnings of the current month. Accordingly, a user can check the details of the Back Office system calculations via this mass action.

§  After posting the records which should be posted, this mass action will display the accumulated ‘Actual Input Amount’ for the paycode within the current or previous period/month; including all ‘Runs’. Thus, this mass action may display an apparent discrepancy after posting between ‘Input Amount’ (calculated for applying the difference that should be posted for vacation accrual at this month) & ‘Actual Input Amount’ (which represents the posted accumulative amount at all pay runs during this period).

§  If the ‘Balance’ accrual option is selected, a user should configure one paycode only for the vacation due accrual (‘Earning’ type) & another one for the vacation taken accrual (‘Deduction’ type).
