VISIO ORGANIZATION CHART

1.      This mass action can be utilized to get a detailed chart for the required organization structure part or all the organization structure; in terms of positions hierarchy.

2.      Select required filtering criteria via the provided four options to specify the type of data which will be exported from the database to Microsoft Visio Chart. These four options are: ‘Organization’, ‘Job’, ‘Location’ & ‘Grade’.

3.      Click Export link to export the specified organizational structure data to an Excel sheet. Note that, in case no data were specified at the provided filter, the system will export all the predefined positions & vacancies at the organization.

4.      Open or save this excel file at a certain location.

5.      Open Microsoft Visio program to display the exported data in terms of an organization chart; via applying the following:

6.      An organization chart will be displayed for the positions hierarchy, as per the predefined ‘Positions’ reporting relations & the specified data at the exported excel sheet, as shown below:

7.      Print this displayed Visio organization chart, if required.

Tips

§  The system displays the parent positions; to which other positions report with double lined borders, whereas the single lined borders signify the non-parent positions; to which no positions report.

§  The system displays all the predefined positions, even if they are vacancies. Thus either the name of the employee who occupies this position will be displayed or this position will be displayed as a ‘Vacant Position’.

§  The ‘Positions’ which are not connected to neither a parent position nor a subordinate one, as per system setup, will be displayed separately at the end of the chart.
